Scan, crop or enlarge, and clean up all logos for communication materials, load logos to laser printer and sample to ensure logo is accurate. Review all distributions (for new or existing groups, contract renewals, or benefit enhancements) and coordinate with Benefit Administrator/Account Executive and/or client to determine what communication materials need to be deleted, created and/or updated. If questions arise from the distribution (if the plan indicated does not agree with CompuVision, for example), questions are forwarded to the Group Administration Department. If inaccuracies are detected on the distribution, a revised version is requested. All distributions are filed in the appropriate group’s folder once completed.  Final review of all communication materials after printing to ensure accuracy,  appearance (columns aligned, spacing proportional, etc.) and wording is first quality. Coordinate printing with outside printers and/or translators when specialized printing or alternate languages are requested or union “bug" is requested for materials.  Act as liaison between the Mail Department and the Benefit Administration or Account Executive for member mailings. Verify the Mail Department is notified of the need for the mailing, materials are printed, and mailings take place in a timely and efficient fashion Ensure clients/groups have updated communication materials sent to them after contract signing/renewals and/or benefits enhancements. Contact clients/groups/associates to ensure documentation requests have been received  Print and ship quantities of communication materials for associates attending benefits fairs or to groups for open enrollment meetings.  Attend weekly Group Meetings to stay informed of upcoming mailings and new and changed groups and miscellaneous meetings as required to keep the department updated (for example, Xerox meetings regarding file transfer, meetings with Post Office to obtain design specifications). Coordinate with Mail Department to make sure they have all group information and materials, and create sample packet for their files of new hire “welcome" packet and packet for existing member requests (SPD, claims form to use, etc.). Update other departments (Benefit Administration, Marketing, Member Service, Provider Service) with copies of changed or new documentation.  Ensure own files and folders are maintained, and log books of created documentation are updated. Review and update older documentation to ensure consistency, accuracy, and quality Listening to messages left on doctor IVR voice mailbox for ordering of materials (service records, prior approvals, etc.).  Answer questions and print materials per daily telephone and fax requests of associates and clients, and assist Benefit Administration or Account Executives with benefits or CompuVision questions. Meet personally with associates/clients to discuss communication materials when necessary Coordinate with Group Administration department to ensure benefit keys are entered correctly and print sample vouchers.
